Move or Reschedule BPM Invites
You can now click the edit button and move any BPM guest to a different BPM, if you for example, put them into the wrong list. But this isn't to be confused with the "Reschedule" feature that can be found by clicking the arrow button on the far right of the name row. When you reschedule, BSCpro keeps a history of where they were originally invited and shows you that they were rescheduled to another BPM. This will allow you to have a full picture of a contact's history.
Add or Send BPM names to ANY! BPM
Previously, you could only add names to a BPM that is in your own baseshop. You could then send the name elsewhere but it was a two step process. Now, when adding the name, you can choose to send it directly to another BPM in another team. Just click the "Send to Other BPM" search by associate, city name, or even zip code to get the nearest offices to the zip code you provide. Also, if you send any name to a BPM outside your baseshop, you can see all those names by clicking the "Change" button on the Captain's List (BPM Invites) page, then selecting the "Date Range" option. Whatever date range you select will show any invites that you sent including those that were sent outside your baseshop.
BPM Generator
The BPM Generator lets you set up a BPM that repeats on a regular schedule, like every Tuesday at 7:00 PM. You set it up once, and BSCpro creates each upcoming meeting for you automatically, so you and your team always have the next few weeks of BPMs ready for guest invites, check-in and attendance. To open it, click BPM in the menu on the left, then BPM Generator (just below BPM Schedule). Or go straight to bscpro.com/bpmscheduler. It appears for the same accounts that see BPM Schedule. Set up a recurring BPM The Add BPM Generator form 1. Click the red + button at the top right of the page. 2. Enter the Name of BPM. 3. Choose the BPM Type: In-Person Only, Webinar Only, or Web and In-Person. 4. For an in-person BPM, a Which office? field appears: search for your office and select it. For a webinar, enter the Webinar URL. 5. Under What time?, pick the start time and your time zone. 6. Under How often does this recur?, choose how often the BPM repeats, for example every 1 Week(s). 7. Under On which day?, pick the day of the week. For a monthly BPM, you pick the week and the day instead, such as the second Tuesday. 8. Under When should the first one be?, pick the date of the first meeting. Only dates that match the schedule you chose can be picked. 9. Generate events how many days ahead? starts at 30. This is how far ahead BSCpro creates meetings, and it can be anywhere from 1 to 365 days. You can change it later if you need to. 10. Under Who can check guests in?, choose All SMDs on this BPM or Only selected SMDs. 11. Optionally, under Default Members, search for other SMDs who share this BPM and click Add. 12. Click Save changes. How the upcoming meetings are created As soon as you save, BSCpro creates every meeting that falls within the next 30 days (or the number of days you chose). After that, it adds new meetings automatically every night, so that many days of BPMs are always scheduled ahead. | Note: The recurrence pattern can't be changed after the series is created. To change the day or how often it repeats, archive the series and create a new one. You can still change how many days ahead meetings are created. | |---| Editing and archiving a series - Only the person who created a series can edit or archive it. Other members see a Member label instead. - When you edit a series, for example to change its name, time or office, BSCpro asks which of the upcoming meetings it has already created should get the change too. - You can also change Generate events how many days ahead? when you edit a series. A larger number creates the extra meetings as soon as you save. A smaller number doesn't remove anything: meetings already created stay on the calendar, because guests may already be invited to them, and new ones are added again once they come within the new range. - To stop a series, archive it. BSCpro lists the upcoming meetings it has already created, so you can choose which to keep. Archived series move to the Archived tab, where you can restore them. - The envelope button next to a series sets up the confirmation email for every meeting in that series.
BPM confirmation emails: templates, overrides and turning them on for your team
BSCpro can email your team's BPM guests for you: an invitation when they're invited, a reminder before the meeting, and a follow-up afterwards. This article explains where those emails are set up, which version a guest receives when several SMDs share a BPM, and the one step every SMD has to take for their own team. | Important: Each SMD must turn on the emails for their own team. If the meeting creator has activated emails, that covers the creator's team only. Guests invited by your team get no automatic emails until you activate them yourself, even though the meeting shows a template. | |---| The three emails Each BPM has three emails. You set each one up separately. - Invitation. Turned on with Activate confirmation emails. It can go out as soon as a guest is invited (Send invitation when a guest is invited), or a set number of hours before the meeting. - Reminder. Turned on with Activate reminder emails. It usually goes out a set number of hours before the meeting. - Post BPM attendee email. Turned on with Activate Post BPM Attendee's emails. It goes out a set number of hours after the meeting, and only to guests who were checked in as arrived. Each email has its own subject and message. Click Preview to see it filled in, or send yourself a test. The Reply to E-Mail field sets where guests' replies go. These placeholders are filled in for each guest when the email is sent: | Placeholder | Replaced with | |---|---| | [Guest Name] | The guest's name | | [Inviter Name] | The team member who invited them | | [Date] | The meeting's date, time and time zone | | [Address], [City], [State], [Zip] | The office address, for in-person BPMs | | [Webinar URL] | The meeting's webinar link, for online BPMs | If you want guests to get the Zoom or webinar link by email, put [Webinar URL] in the message. Also check that the BPM's webinar link field holds the full link (starting with https://), not just the word "Zoom". Where to set them up You can set up emails for one meeting or for a whole recurring series. Only SMDs who are on the BPM can open these pages. - One meeting: on the BPM Schedule page, find the meeting and click the button in the Email Confirmations column. The button reads Active when your invitation email is turned on, and Inactive when it isn't. Changes here apply to that one meeting only. - A whole series: on the BPM Generator page, click the envelope button next to the series. This sets your default for every meeting in the series. After saving, you can choose which meetings that have already been created should get the change (Apply to upcoming BPMs). If you're the meeting creator, your series default is what every SMD on the BPM starts from. If you're another SMD on the BPM, your series default applies to your team's guests only. Which template a guest gets When several SMDs share a BPM, each can have their own version of the emails. For each guest, BSCpro uses the first template it finds, in this order: 1. The template of the person who invited the guest, if they have one on that meeting. 2. The template of the inviter's SMD. 3. The template of the meeting creator. A template set on one meeting always wins over a series default. BSCpro only falls back to the series defaults, in the same order, when nobody in that list has a template on the meeting itself. Why you still have to activate the emails Automatic sending only happens when the template belongs to the inviter or the inviter's SMD, and it's switched on there. If a guest ends up with the meeting creator's template because you haven't set up your own, the guest gets the creator's wording in any email you send by hand, but no emails are sent automatically. In practice: - Your team's guests get automatic emails only if you have activated them. It doesn't matter whether the creator or any other SMD on the BPM has activated theirs. - The fastest way to set this up for a series is the envelope button on the BPM Generator page. It opens with the creator's template filled in, so you can review it, turn on the emails you want, and save. It then belongs to you. - When BSCpro asks which upcoming BPMs to apply it to, select all of them. Meetings created from now on use your series default automatically. For meetings that already exist, a template the creator set on that one meeting comes before your series default, and then your team's guests get no automatic emails. Applying your version to those meetings prevents that. - Check the Email Confirmations column on the BPM Schedule page. If it reads Inactive for a meeting, your team's guests won't get the invitation email for that meeting. | Tip: Activate your emails before your team starts inviting. BSCpro works out when each email goes out at the moment a guest is invited. Guests invited while your emails were off don't get them just because you turn them on later. There is one exception: if you save a single meeting's emails from the BPM Schedule page with an email set to go out when a guest is invited, BSCpro asks whether to also send it to everyone already invited. Share a signup link and QR code for your BPM
A meeting signup link lets guests sign themselves up for a BPM. Share the link in a text, email or social post, or print the QR code. When a guest fills in the form, they're added to the BPM's invite list with you as the inviter, and they get a confirmation email. Each link belongs to you and to one BPM. Other people on your team who share the same BPM get their own links, so every signup is credited to whoever shared it. Create your link 1. Click BPM in the menu on the left, then BPM Schedule. 2. Find the BPM and click its QR code button in the actions column. 3. Click Generate Link. The QR code button in the BPM Schedule actions column Before you have a link, the dialog shows the meeting and a Generate Link button: The signup link dialog before a link is generated Once you click it, your link is created and starts accepting signups straight away. The dialog shows: - the QR code, with a Download QR code link to save it as an image - the link itself, with a Copy button - an Accept signups switch The signup link dialog with the QR code, link and Accept signups switch You can also open the same dialog from View Invites. When you're looking at a single BPM, click the Invite Link button at the top left of the list. The button is hidden when you view a date range, because a range covers more than one BPM. The Invite Link button on View Invites | Tip: The QR code button is green while your link is accepting signups, and gray when you don't have a link yet or it's turned off. | |---| What guests see The signup page shows the BPM's name, date, time and location (or that it's online), with a short description of what to expect. Guests enter their: - first and last name - email - mobile phone The signup page a guest sees After they click Sign up, they see a confirmation with an Add to calendar button. They also get a confirmation email with the meeting details, an Add to calendar button and, for an online BPM, the link to join. Replying to that email reaches you. What a guest sees after signing up If the guest is already one of your contacts, BSCpro matches the signup to them by email or phone and name. Turn signups off, change or delete your link Click the QR code button again to manage your link. - Accept signups switch: turn it off to pause signups. The page still opens but tells guests signups are unavailable. Turn it back on at any time. - Regenerate link: creates a new link and QR code. The old link and any printed QR code stop working immediately. - Delete: removes the signup page. The link and QR code show a "page not found" error to anyone who visits them. Signups close automatically when the BPM starts, or if it's cancelled. Customize the signup form SMDs and above can change the text guests see. Associates still get their own link and QR code; the text on their signup page is set by the BPM's creator or their SMD. For one BPM 1. Open the link dialog from the QR code button. 2. Click Edit signup form. This button appears after you've generated a link. 3. Change any of the fields. The preview on the right shows the form before and after signup. 4. Click Save. The signup form editor, with the fields on the left and a preview on the right You can change: - Heading and Subheading at the top of the page - Info box title and Info box text (the "What to expect" section) - Heading after signup and Subheading after signup, shown once a guest has signed up Leave a field blank, or click Use default, to keep the standard text. You can also tick Ask guests one more question and give it a title, such as "How did you hear about us?". Guests can answer it if they like; it's never required. You can edit the form if you created the BPM, or if you're an SMD taking part in it. For every BPM in a series This option is for SMDs and above who created a recurring BPM in the BPM Generator. You can set the signup page text once for the whole series. 1. Click BPM, then BPM Generator. 2. Click the green QR code button next to the series. 3. Change the fields and click Save. The QR code button next to a series in the BPM Generator The text you set here applies to everyone on your team who generates a signup link for a BPM in the series, so their signup pages all match.
